Who Should Attend?

The AEC Acoustics Best Practice Roundtables is for subject matter experts, solution providers, builders, and business decision makers. Limited to 40 attendees, this event is deliberately smaller; a quieter “Acoustic” version of larger AEC conference. Though smaller, the event is attended by globally recognized industry leaders and presenters, and practitioners.

The overall event schedule is similar to the fall AEC Leadership Retreat. However, the Best Practice Roundtables event is focused on discovering, discerning, and implementing technology best practices related to AEC.

Here’s highlights from the Fall 2024 AEC Leadership Retreat.

No lanyards, PowerPoint, or alcohol. However, we have our very own French Chef. :) Surrounded by nature. Casual t-shirts, shorts and tennis shoes are perfectly fine. It’s about discussions without distractions, or long distances between sessions and lodging - if you forget your phone charger it’s only a 5 minute walk :). Each roundtable facilitator agrees to complete a 2-3 page Executive Summary. Post event, executive summaries will be available for download by the broader AEC community.

2025 Theme: “Better Storytelling through Technology”

If a picture speaks 1000 words, are they the right words? Too often technology becomes a distracting end in itself, while the true power of technology lies in how it can help us tell impactful stories and communicate our project visions more effectively. Thoughtful storytelling can bridge gaps, evoke empathy, and drive engagement in ways that data and spreadsheets cannot. Through better storytelling, we can shape narratives that resonate, inspire, and call to action. During this year's Best Practices Roundtable, we'll focus on the proper use of technology and storytelling to improve communication, increase clarity, and connect with intended audiences.

The event format will be highly interactive, with lively feedback and open discussion. Presenters are encouraged to structure sessions in ways that actively engage and foster discussion where everyone can share insights, ask questions, and exchange ideas. When proposing your session(s), consider incorporating creative strategies to solicit feedback and encourage group participation: guided questions, breakout discussions, active feedback and more. Ensure all voices are heard, leading to valuable insights and discoveries as leaders in an AEC focused community.

While registering and indicating your interests, propose up to 3 roundtable sessions. If selected, facilitators agree to complete a 2-3 page Executive Summary no later than one week after the event. Post event, executive summaries will be available for download by the broader AEC community. Complimentary registration is provided to all presenters at this year’s roundtable event.

Event Schedule

Arrive Sunday, April 27. Relax and catchup with your industry peers. Head down to the lake, go for a walk, or relax in a rocking chair from the pine deck of the Lake View Lodge.

Monday April 28. Unplug and Reconnect. We’ll depart after breakfast via motor coach for Ichetucknee Springs State Park and enjoy a day of networking and team building. There’s something for everyone, with hiking trails, boardwalks, kayaking on pristine spring-fed rivers, and swimming in crystal clear springs. A full list of state park amenities is here.

Tuesday, Wednesday, and Thursday.

  • Sessions at 9am, 10:30am and 1pm

  • Open afternoons from 2:30pm-5:30pm for networking and informal discussions.

  • Challenging and thoughtful evening presentations at 7pm

Friday, May 2. Breakfast at 8am. Depart by noon. See you next year!

Call to Action

How often have you walked out of the theater and said, “Great special effects, terrible plot.” In a time of over abundance of emerging new technologies, it’s essential to remember that technology is only a tool. True impact comes form how we use technology to tell compelling stories and share project visions in ways that resonate with our audience. Together, we’ll explore and discover how best to align the art of robust storytelling with best in class AEC technologies.

Be sure to propose sessions, where lively feedback and open discussion are central to the roundtable experience.
